  • Role Overview
  • The Administrative Operations Coordinator will play a vital role in ensuring the smooth coordination of daily operations and communication across the organization. You’ll handle phone and text communications, organize documentation, manage reports, and coordinate with families, providers, and partner organizations.
  • The ideal candidate is empathetic, patient, and detail-oriented, with excellent organizational and interpersonal skills. Experience in the medical, therapy, or education industry is preferred but not required.
  • This role will begin at 30 hours per week, with the potential to increase to 40 hours as responsibilities expand.
  • Key Responsibilities
  • Communication & Coordination
  • Make and receive phone calls and text messages to coordinate with families, providers, vendors, and partner organizations.
  • Assist families in completing medical or therapy-related forms, ensuring information is gathered accurately and compassionately.
  • Provide clear instructions and guidance to families navigating emotionally sensitive or stressful situations.
  • Contact external organizations to gather or verify information and complete required administrative forms.
  • Follow up on open items to ensure timely communication and task completion.
  • Organization & Reporting
  • Maintain organized digital files and documentation using Google Drive or similar tools.
  • Write short reports or summaries following calls and meetings.
  • Assist with data entry, form submissions, and record updates.
  • Operational Support
  • Support scheduling and coordination of therapy sessions, meetings, and events.
  • Keep internal systems and records accurate, up to date, and accessible for the team.
  • Proactively identify opportunities to improve organization, efficiency, and workflow clarity.
  • Qualifications
  • Experience
  • 2+ years of experience in administrative, coordination, or operational support roles.
  • Experience in healthcare, therapy, or education environments is a plus.
  • Comfort handling sensitive information and frequent phone communication with families and external partners.
  • Skills
  • Strong verbal and written communication skills in English and Spanish.
  • Excellent organizational and time management abilities.
  • Proficiency with Google Workspace.
  • High attention to detail and discretion when handling confidential information.
  • Deep empathy, patience, and a calm communication style.
  • Reliable, proactive, and comfortable supporting families with compassion under pressure.
